BUYER'S GUIDE

The best CRM for photographers in 2026 depends on how your clients book

For portrait studios, the short answer is: pick the CRM that matches how clients book. If your enquiries arrive by email and you work alone, the best photography CRM is usually the one with the nicest forms, contracts and galleries: HoneyBook, Dubsado, Sprout Studio or Pixieset. If your clients ring the studio, message on Instagram and get answered by whoever is at the desk, you need a CRM with a phone system and a shared inbox. That’s a much shorter list. This guide compares eight options on the things that change your day, with every competitor fact sourced and dated.

A studio owner at a tidy front desk, a phone within reach.

Disclosure: we make Allio, one of the eight. We’ve tried to be fair, and we say where each of the others wins.

Three questions that pick your CRM for you

1. How do most of your bookings start?

By email or a website form: almost any CRM here will do. By phone call, text or Instagram: you need calling, texting and social messages in the CRM, or they’ll live on someone’s personal mobile.

2. How many people talk to clients?

One: per seat pricing doesn’t matter. Three or more: check what each extra user costs and whether everyone sees the same conversation history.

3. Where do your galleries and sales happen?

If you want galleries in the same login, look at Sprout Studio, Pixieset or VSCO Workspace. If you sell in person with ProSelect, check whether orders sync into the CRM.

The eight, and who each one is best for

1. Allio: best for portrait photographers and studios that book by phone

Allio is built for portrait photographers who book by phone, from a first year studio to a busy front desk. Calls to your studio number ring your team, can be recorded and transcribed, and land on the client record. Recording needs the notice and consent your clients’ locations require. Texts, email, Facebook and Instagram messages and web enquiries arrive in the same inbox. Booking, contracts, invoices and payment links sit on the same record, and ProSelect orders sync in during onboarding. The Call Reporting Dashboard and the mobile app for iPhone and Android come with the plan at no extra charge. One plan, $297 a month, no per seat fee, with AI and phone usage billed at cost on top, and email at wholesale rates. Texting from a new number waits for carrier registration, which can take a few weeks; calling works right away.

Where it falls short: no galleries, so you keep your gallery platform. It costs more than every tool on this list for a solo photographer who rarely takes calls.

Allio's team inbox and personal inbox side by side, with Unread, All, Recent and Starred tabs, client names and messages blurred
Real Allio account: the team inbox and your own inbox, with client details blurred.
Real Allio account: an attribution report showing where one month's leads came from, with a daily revenue chart and revenue figures hidden

2. HoneyBook: best guided setup for solo creatives

HoneyBook is the easiest to get running, with templates for proposals, contracts and invoices and automations on paid plans. Starter is $29 a month billed yearly, Essentials $49 and Premium $109. In August 2026 it added a Business Phone and SMS add-on from $8 a month: one 800-style number shared by the team, calls forwarded to the account holder’s phone, available to members in the US and Canada. Calls work immediately; texting waits for carrier approval of up to 10 business days.

Where it falls short for studios: team members are capped below Premium, and the phone add-on forwards to one person rather than ringing a team.

3. Dubsado: best for customisation and multiple brands

Dubsado lets you brand and customise everything: portals, forms with custom CSS, proposals that bundle contract, invoice and payment plan in one link, and deep email workflows. Starter is $35 a month and Premier $55, with three additional users included. Extra brands are $10 a month.

Where it falls short for studios: scheduling and workflows are Premier only, scheduler reminders are email only, and there’s no phone or native texting.

4. Sprout Studio: best all in one with galleries

Sprout Studio combines CRM, booking proposals, contracts, invoices, client galleries, album proofing, an online store, lab fulfilment and email marketing. Plans are listed from $19 to $69 a month by tier, with 3 users on most plans and a 30 day trial with no card.

Where it falls short for studios: no phone line or native texting listed.

5. Pixieset Studio Manager: best low cost option for Pixieset gallery users

Pixieset Studio Manager covers invoices, contracts, questionnaires and booking next to Pixieset’s galleries and websites. The entry tier costs nothing, Plus is $12 a month billed yearly and Pro $18. Tap to pay works in its mobile app.

Where it falls short for studios: the inbox is email only and no team seats are listed.

6. Studio Ninja: best simple, photographer only CRM

Studio Ninja is built only for photographers. Starter is $16 a month with one user, Pro $27 with three users, and Master $40 with unlimited users and three brands. There’s a 7 day trial with no card required, per its pricing page.

Where it falls short for studios: no texting or phone system on its pricing page.

7. 17hats: best for bookkeeping in the same tool

17hats includes bookkeeping, quotes, contracts and invoices on one plan at $60 a month or $600 a year, with three users included and more at $5 a month. Several features, such as scheduling and recurring billing, are paid add-ons. Texting is a paid add-on for US and Canadian members: a $60 one-time registration, then from $10 a month for 100 texts, charged per message fragment. It doesn’t list a phone system.

Where it falls short for studios: add-ons stack up, and we couldn’t find a phone system on its pricing page.

8. VSCO Workspace: best for photographers already in VSCO

VSCO Workspace (formerly Tave) is now sold as part of VSCO One at $41.67 a month on an annual plan only, with 6 users, 4 brands, automations, a client portal and integrations with VSCO, ShootProof and Pic-Time galleries. Its pricing page doesn’t list native texting; its help centre describes texting through a Quo (OpenPhone) integration.

Where it falls short for studios: no phone system listed, and it’s annual only.

Why the phone decides it for portrait studios

Family, newborn, pet and boudoir clients often want to talk before they book. They ring with questions about outfits, timing, what happens if the baby arrives early, or what’s included in a package. When those calls go to a personal mobile, nothing lands on the client record, nobody else on the team can see what was promised, and a missed call often becomes a booking with the studio down the road.

That’s why we built Allio around a studio phone system. If your studio books mostly by email, any of the tools above will serve you well, and some will cost you a lot less.

Real Allio inbox: one client's thread with two recorded calls and View Transcript links, texts, pipeline stage changes, and the client's contact details and tags alongside
Real Allio account: one client's thread with recorded calls, texts and pipeline updates, and their contact details alongside.

Questions about photography CRMs

What is the best CRM for photographers?

For a solo photographer who books by email, HoneyBook, Dubsado, Sprout Studio, Pixieset and Studio Ninja are all strong. Choose by price, galleries and how much customisation you want. For a portrait studio with staff that books by phone, Allio is built around a studio phone system and shared inbox.

What is the best CRM for a photography studio with staff?

Look at three things: what each extra user costs, whether everyone sees the same client conversation history, and whether calls and texts happen inside the CRM. Allio has no per seat fee and puts calls, texts, email and social messages on one record. Dubsado includes three additional users, and HoneyBook Premium includes unlimited team members.

Which photography CRM has texting?

As of October 2026, Allio has two-way texting built in. HoneyBook offers texting as a paid add-on from $8 a month for members in the US and Canada. 17hats sells a texting add-on for US and Canadian members, from $10 a month for 100 texts (charged per message fragment) after a $60 registration fee. VSCO Workspace connects texting through Quo (OpenPhone). Dubsado, Sprout Studio and Pixieset don’t list native texting.

Which photography CRM has a phone system?

Allio includes a studio phone system with call recording. HoneyBook’s August 2026 add-on gives a shared 800-style number that forwards calls to the account holder. We couldn’t find calling in the other six on their pricing or product pages.

Is there a photography CRM with no monthly cost?

Pixieset Studio Manager has an entry tier at no cost, limited to 3 contracts, 3 quotes or questionnaires and 1 session type. Most others offer a trial instead.

Do I need a CRM as a photographer?

Once you’re juggling more than a few enquiries a week, yes. A CRM keeps enquiries, contracts, payments and reminders in one place so nothing is missed. The right one depends on how your clients book.
