STUDIO GUIDE

What missed calls cost a photography studio, and how to answer more of them

The cost of a missed call depends on your own numbers: how many calls you miss, how many of those were new clients, how many never got back to you, how often enquiries book, and your average sale. Multiply them and you have a monthly estimate. This guide gives the formula, a clearly labelled worked example, where to find each number, and the practical fixes: better call cover, a text back within seconds, fast call backs and an AI receptionist for the hours you can’t answer.

The formula

Missed calls a month x share that were new enquiries x share you never reached x your booking rate x your average sale = estimated lost sales a month

It’s an estimate, not an invoice. Some of those callers would never have booked, and some would have booked anyway. But it turns a vague worry into a number you can track and improve.

A worked example

Worked example. The numbers are made up to show the method, not a suggested price. Use your own.

A studio misses 40 calls a month. A quick check shows about half are new enquiries: 20. The studio reaches 12 of them later, by call back or text, so 8 are never reached. Its enquiries book about 1 time in 3, and the average sale is $600.

8 x 1/3 x $600 = about $1,600 of sales a month that may be going elsewhere.

Your answer could be much higher or lower. The point of the formula is to use your own figures.

Where to find each number

  • Missed calls: your call report or phone bill. Count every call nobody answered, whether or not it went to voicemail.
  • Share that were new enquiries: look up the last 20 or 30 missed numbers. How many weren’t already clients, suppliers or spam?
  • Share you never reached: of those new callers, how many did you never manage to speak or message with later?
  • Booking rate: enquiries that became booked sessions over the last few months.
  • Average sale: total sales divided by the number of clients. See the pricing guide.
Real Allio call report: incoming calls by status (answered, missed, voicemail), first time callers, average and total call duration, and top call sources
Real Allio account: the call report, with answered, missed and voicemail calls and call times for one week.

Why missed calls matter for portrait studios

  • Calls come at the worst times: mid session, on location, during a school pickup.
  • Callers are often ready to book. Someone who rings rather than browsing usually wants an answer now.
  • Not everyone leaves a message. Some callers hang up and try the next studio on the list.
  • Phone tag costs time. Each missed call can turn into several attempts to reach each other.

Fix 1: cover the phone better

  • Ring more than one person during working hours, such as you and an assistant, on desk and mobile apps.
  • Set a sensible ring time before voicemail, long enough to answer, short enough that callers don’t give up.
  • Plan cover for sessions: who answers when you’re shooting?
  • Publish your phone hours on your website and Google profile, so callers know when they’ll reach someone.

Fix 2: text back within seconds

A missed call text back sends the caller a message straight away, so they know they’ve reached a real studio and can reply by text instead of waiting. Keep it short and personal:

Fictional example. Fernhill Portrait Studio and Ellie are made up.

“Hi, it’s Ellie at Fernhill Portrait Studio. Sorry I missed your call, I’m with a client. How can I help? I’ll call you back by 3pm, or just reply here.”

In the US, texting from a business number needs carrier verification first, which can take a few weeks. Calls work straight away. See texting verification for studios.

Real Allio workflow: a Call details trigger for incoming calls that were missed or busy, followed by an Add Task step
Real Allio account: a workflow that starts when an incoming call is missed and creates a call back task for the team.

Fix 3: call back fast, and track it

  • Create a call back task for every missed call from a new number
  • Return calls between sessions, oldest first
  • Use voicemail transcription so you can read messages at a glance
  • Close the loop: note the outcome on the client’s record

What to say when you call back

Keep the call back short and helpful. Mention that you missed them, answer the question, and offer a next step:

Fictional example. Fernhill Portrait Studio and Ellie are made up.

“Hi, it’s Ellie from Fernhill Portrait Studio returning your call. Sorry I missed you, I was with a family. How can I help?” Then, once you know what they need: “We have Saturday at 9:20 or 11:00. Would one of those suit? I’ll text you the details either way.”

If they don’t answer, leave a short message and send a text, so they can reply when it suits them.

Common mistakes that make it worse

  • A full voicemail box, so callers can’t leave a message at all
  • An old greeting that mentions last season’s offer or the wrong hours
  • The wrong number on your website, Google profile or social bios
  • Calls ringing one phone that sits in a bag during sessions
  • No record of who called back, so two people call the same client, or nobody does

Check each of these once a quarter. They take minutes to fix.

Fix 4: let AI answer when nobody can

An AI receptionist can answer calls you’d otherwise miss, answer common questions from your studio’s information, offer session times and pass a summary to your team. Set it to cover only the times you need, such as during sessions or after hours, and tell it when to hand over to a person.

Real Allio call log: the AI receptionist's calls listed with caller, number, duration and actions, and the call summary open for a call where the caller rescheduled an appointment and was told an SMS confirmation would follow
Real Allio account: a call the AI receptionist handled, with its summary open in the call log.

Where Allio fits: Allio includes missed call text back, call back tasks, call reporting and an AI receptionist. AI and phone usage is billed at cost.

Measure the change

Write down this month’s numbers before you change anything. After a month with the fixes in place, run the formula again with the new figures. The difference is a fair, if rough, measure of what the changes are worth. Track the missed call count and call back time weekly, as part of your studio phone KPIs.

A quick weekly check

  • How many calls did we miss, and on which days and times?
  • How many missed callers were new enquiries?
  • Did every new caller get a text back and a call back?
  • How many of them booked?

Patterns show up quickly: one busy Saturday, the school run, or a lunch hour nobody covers. Fix the biggest gap first.

Missed call questions

How much do missed calls cost a photography studio?

It depends on your numbers. Multiply missed calls a month by the share that were new enquiries, the share you never reached, your booking rate and your average sale.

Is there a missed call cost calculator?

The formula on this page works as one. Put in your own call report, booking rate and average sale, and treat the result as an estimate.

What is missed call text back?

An automatic text sent to someone whose call you missed, so they know you’ll be in touch and can reply by text.

Should I let calls go to voicemail during sessions?

Voicemail is better than nothing, but not everyone leaves a message. Add a text back, a call back routine, or an AI receptionist to cover session times.

Do I need verification to text back missed calls in the US?

Yes. Business texting from a local US number needs carrier verification first. Calls work straight away.

How fast should I call back a missed call?

As soon as you can, ideally between sessions the same day. Send a text straight away so the caller knows you’ll be in touch.

Are missed calls from existing clients a problem too?

Yes, though a different one. Existing clients usually call back, but a missed call about a session change or a viewing can lead to a no-show or a frustrated client. Call them back the same day.
